The story of the dumb girl that couldn't
spell
Please finish this story to the end
because there is an important lesson for you
This is a true story that I know of first hand
though some details have been changed to protect the
"innocent". Once there was an office with a clerical worker who
was known as dumb, her name was Gabriella. No one was sure if
she ever learned her alphabet because often files
were found under the wrong letter. Everyone though
cut Gabriella slack, maybe because of her smile or
perhaps because whenever she went to pick up lunch at the
local pizzeria she came back with almost double of what we
ordered. We were sure the pizza man liked her smile. It turned
out to be something else he liked.
The business she worked at was wildly
successful, the work was plentiful and the rates were never
discounted so the bank balance never was a concern. In fact the
owners were so busy, who had time to write checks ? , that
became Gabriella's responsibility as was getting the mail.
They also had no time to reconcile their bank account. In fact
the one time they did it just did not seem to work out. So they
had the perfect solution, open up another account.
As you may have noticed they were giving a
little too much responsibility to Gabriella. Believe it or not
the employers were accountants yet they were not aware of what
was going on right under their nose. That was until cash
started to get tight and bills were not getting paid. So one of
the owners went out for a slice of pizza to think about this
situation. As he was sitting in his booth he overheard some of
Gabriella's friends talking in the booth behind him. They were
all wondering how she could afford the clothes she was wearing
and the places she had been going to. Suddenly a thought
crossed his mind, could it be that Gabriella was his money
problem ? Forget about the rest of lunch he rushed right back
to the office.
I'll bet you can guess what happened next, he
looked through his bank statements and found some checks
missing. See it turns out for more than two years Gabriella had
been taking checks from the back of the checkbook and writing
them to herself. Then when the mail came in she took the
cancelled checks out of the bank statement and destroyed them.
Turns out that she had stolen over $ 250,000 from her
trusting employers.
Let me ask you a question, what are you doing
to make sure this is not you ?
So please read this carefully. Whether you use
my services and software or never even touch a computer there
are simple steps you can take to prevent this from happening to
you:
1. Open your own bank statements before any
employees and review all checks and withdrawals
2. Separate check writing
responsibility from the bank reconciliation process
3. Do not leave excess funds in your operating
account
You'll be glad to know that even the basic
monthly service I offer would keep you very safe from this ever
happening to you. That is because even with our Silver monthly
plan we reconcile your account on a monthly basis. That
means we as a third party outside of your office are
making sure that things are working
properly. Accountants call this separation of duty,
though you will think of it as peace of
mind.
